The type of personal information we collect
We currently collect and process the following information:
Personal identifiers, contacts and characteristics (for example, your email address, forename and surname and contact details such as phone number and home address if you have given that to us)
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
To ask for advice
To help us in our work as a charity
Because you asked us to send you updates about our activity and invitations to our events
To ask for our help in supporting refugees, for example where there is a specific need for a family which in the past has included a TV, bed, bedding, bicycle.
To enable you to apply for grants and other services
We use the information that you have given us in order to inform you about our activity, to alert you to new advice, news about our work and events we are planning. We use it to understand the patterns of need that refugees have in our community and the size of that need.
We do not share this information except in specific cases where we will ask for your permission. For example, we would ask your permission to share a Homes for Ukraine Host or Guest name and e-mail address with Dorset Council.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting shaftesburyrefugeegroup@gmail.com or calling the Information Officer 07340934921.
(b) We have a legitimate interest because we are an organisation serving the interests of refugees and we have asked whether we can hold your personal data in regard to our work in their interest.
How we store your personal information
Your information is securely stored in our password protected Google Drive which is only accessible to our Trustees. No data is held in folders on personal laptops or phones.
We will keep your personal contact details for 3 years from 29th April 2022. We will then ask whether you would like this personal date to continue to be held. If you do not actively consent for your information to be held by us it will be disposed electronically.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You can access the personal data we hold about you at any time and usually without a fee by e-mailing shaftesburyrefugeegroup@gmail.com or by contacting the Information Officer 07340934921
To keep your data secure we will always take steps to verify that it is you or your representative
requesting the information. We will provide you with a response within a month from your request but
usually within a few days.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
